How the calculator works

  • Revenue is your price per client times your clients, plus any usage you rebill and setup fees from new clients.
  • Costs are your HighLevel plan, any AI Employee plan and add-ons per client, the usage your clients generate, card fees on everything you charge, and your other monthly costs.
  • Break-even is the number of clients whose margin covers your plan and other fixed costs.
  • The projection applies your churn and new clients month by month for 12 months.

Nothing is filled in for you except HighLevel's plan prices and Stripe's published card fee. I don't put in sample client numbers or prices, because any figure I picked would look like a promise of income.

The HighLevel rules that change the answer

PlanMonthlyYearlySub-accountsUsage rebilling
Agency Starter$97$9703Not available
Agency Unlimited$297$2,970UnlimitedAt cost only
Founder$497$4,970UnlimitedAt cost or with markup

Sources: monthly prices and rebilling rules from the HighLevel Pricing Guide; Founder naming from Introducing the Founder Plan; sub-account limits from HighLevel's plan summary; yearly prices from the pricing page.

  • Starter caps you at 3 sub-accounts. If you plan to sign a fourth client, budget for Unlimited.
  • Usage margin needs Founder. On $297 you can pass phone and email usage to clients at cost. Only the $497 Founder plan lets you add a markup, and only Founder can rebill AI Employee usage (AI Product Pricing).
  • AI Employee plans are per sub-account. Growth is $50 and Unlimited is $97 per client per month, and the $20 Starter is for Founder agencies only (AI Product Pricing).

How I would use it

I spent four years as a Customer Success Manager at HighLevel, and the numbers here are the ones I'd want an agency owner to have in front of them before changing plans or prices.

  1. Pull real usage first. Agency View, then Settings, then Billing shows every charge broken down by sub-account. Use last month's real figure for the usage field rather than a guess.
  2. Price for the usage you can't pass on. On $97 every text and call comes out of your margin. Put that number in and see what it does to break-even.
  3. Check when Founder pays for itself. Run the same clients on $297 at cost and on $497 with your markup. The $200 difference is the plan; the markup has to cover it.
  4. Be honest about churn. Use your own cancellation history. If you don't have one yet, try a few values and see how sensitive the year is to them.

What the calculator leaves out

  • Taxes, refunds, card disputes and currency conversion.
  • Price changes during the year. Every month uses today's prices and costs.
  • Usage that grows or shrinks with each client. The usage field is one average figure per client.

Estimates, not guarantees. This is arithmetic on the numbers you enter. It is not a forecast of what your agency will earn. Confirm HighLevel prices in your own account before you rely on them.

Where HighLevel's pages disagree

  • The HighLevel pricing page names the $497 plan "Founder" on its plan card but still calls it "Pro" and "Agency Pro" in its FAQ and add-ons text. The Help Center calls it the Founder plan. (source)
  • An older HighLevel page (gohighlevel.com/pricing-info) says the Starter plan has 2 sub-accounts. The Help Center plan summary and the current pricing page say 3, so the calculator uses 3. (source)

FAQ

How much does HighLevel cost an agency each month?

HighLevel has three agency plans: Starter at $97/month, Unlimited at $297/month and Founder at $497/month. Founder is the new name for the old $497 Agency Pro plan. The pricing page also lists yearly prices of $970, $2,970 and $4,970. Usage such as phone, SMS, email and AI is billed on top through the Agency Wallet.

How many clients can I have on the $97 Starter plan?

HighLevel says the Starter plan includes 3 sub-accounts. Unlimited and Founder include unlimited sub-accounts. The calculator warns you when your client count goes past 3 on Starter.

Can I make money on SMS, calls and email in HighLevel?

Only on the $497 Founder plan. HighLevel says Phone System and Email System rebilling without markup is available on the $297 and $497 plans, and rebilling with markup is only available on the $497 plan. On $97 the usage cost stays with you, and on $297 you can pass it to clients at cost.

What does Stripe charge on client payments?

Stripe's published standard rate in the US is 2.9% + 30 cents per successful domestic card transaction. Rates differ by country, card type and custom pricing, so the calculator lets you change both numbers.

How is break-even worked out?

Fixed costs are your HighLevel plan plus your other monthly costs. Each client adds what you charge them, minus what that client costs you: AI Employee plan, add-ons, usage and card fees. Break-even is the smallest number of clients whose combined margin covers the fixed costs.

How does churn work in the 12-month projection?

Each month you bill the clients you had at the start of the month. During the month your churn percentage of them leave and your new clients join. New clients pay their setup fee that month and their first monthly fee the next month.

Does the calculator include AI costs?

You can add an AI Employee plan ($20 Starter on Founder only, $50 Growth or $97 Unlimited) for every client, and put any pay-per-use AI spend into the usage field. To compare AI plans for a client in detail, use the HighLevel AI plan calculator on this site.
