Missed Call Text Back Calculator

What a missed call text back could be worth to one business, using your own numbers: missed calls, how many reply, book and buy, and the job value. It subtracts what the texts cost in HighLevel and shows net and ROI. The form starts empty on purpose. No email needed.

Your funnel, per month

Missed calls are calls that would get a text back; the built-in setting texts every missed call, repeat callers included. Count only callers who would have been lost without the text. People who would have called back anyway are not recovered revenue.

Enter all five funnel numbers to see an estimate.

  • Recovered revenue-Missed calls, replies, bookings, jobs
  • HighLevel cost$0.00SMS out and in, plus any A2P fee
  • Break-even-Recovered jobs a month needed to cover the cost

Estimates, not guarantees. The result is only as good as the rates you enter; real SMS bills depend on message length, carriers and rate changes. HighLevel rates checked on 30 Oct 2026.

How missed call text back works in HighLevel

There are two ways to set it up. Both send an SMS to a caller whose inbound call was not answered.

1. The built-in setting

  1. In the sub-account, open Settings, then Phone System, then Voice, then Voicemail & Missed Call Text Back, and click Missed Call Text Back.
  2. Tick Enable Missed Call Text Back, click Customize and write the message. Custom values such as the contact's name only work if HighLevel already knows the caller.
  3. Send a test to your own phone and click Save.
  4. Set the incoming call timeout in Voicemail Settings. It decides how long the phone rings before a call counts as missed; HighLevel suggests 10 to 20 seconds.

Good to know, all from HighLevel's Missed Call Text Back guide: answered calls never trigger a text; it texts every missed call, even when the same person rings several times; contacts on DND are not texted; the texts count toward your messaging usage; and if the dialed number cannot send SMS (a number pool or tracking number, for example), HighLevel sends from a number you have messaged that contact from before, then your default outbound number, then another eligible number. WhatsApp follow-up is a separate feature, Missed Call WhatsApp Back.

2. A workflow with the Call Details trigger

  1. Go to Automation, Workflows, then Create Workflow and Start from Scratch (or customize HighLevel's existing missed call recipe).
  2. Click Add New Trigger and pick Call Details under Events. Older tutorials call this the "Call Status" trigger; in the current builder Call Status is one of its filters.
  3. Set Call Direction to Incoming and Call Status to busy, voicemail and no-answer. Add In Phone Number or In Number Pool if only one line should text back.
  4. Add your SMS action. To avoid texting a repeat caller several times, HighLevel suggests a Wait of around 20 minutes or tags such as 1st call and 2nd call.
  5. Check Allow Re-entry in the workflow Settings if callers who ring again another week should be texted again, then switch the workflow from Draft to Publish. Draft workflows do not run on live calls.

Texting from a US number needs A2P. HighLevel says at least one number in the location must be eligible to send SMS: A2P 10DLC registration for local numbers, or toll-free verification for toll-free numbers. The A2P registration checklist walks through it, and make sure your campaign's description and sample messages cover the text-back.

How the calculator works

  • Recovered jobs = missed calls × reply % × book % × close %. Recovered revenue = recovered jobs × average job value. With a gross margin, the calculator compares cost with profit instead.
  • SMS cost = (text-backs × segments + replying callers × your follow-ups) × the outbound rate, plus replying callers × their texts × the inbound rate. This is HighLevel's own method: segments × per-segment cost, plus segments × carrier fee (How to Calculate SMS and MMS Costs).
  • US rates are $0.00747 a segment either way, plus the carrier fee you pick with HighLevel's 5% pass-through markup. Canada uses the same per-segment rate with no published carrier fees; the UK and Australia use list rates from the Phone System guide's messaging rate file. These are the same figures as the usage cost calculator.
  • Net = recovered revenue (or profit) minus HighLevel cost. ROI = net ÷ cost. Break-even = cost ÷ value of one job.
  • Segments: 160 plain (GSM-7) characters a segment. One emoji, curly quote or other special character switches the whole message to Unicode: 70 characters in one segment, 67 per segment once split.

Not included: phone number rental, the one-time A2P registration fee (see the checklist), MMS, number validation lookups, staff time and your HighLevel subscription. Put the whole client account through the usage cost calculator for those.

Estimates, not guarantees. This is arithmetic on HighLevel's published rates and the numbers you enter. It does not know how many of your callers would reply or buy; only your own call logs and bookings can tell you that. Your wallet shows the real SMS charges.

Where HighLevel's pages disagree

  • How to Calculate SMS and MMS Costs says a GSM-7 message of 161 to 320 characters is 2 segments, which implies 160 characters per segment even when split. The Twilio segment guide it links says split GSM-7 messages carry 153 characters per segment, and the same HighLevel article uses the equivalent rule (67 instead of 70) for Unicode. This calculator counts segments the Help Center way and warns when the 153 rule would give a higher count, which only happens between 307 and 320 characters and at similar points for longer messages. (source)
  • How to Calculate SMS and MMS Costs works its example at $0.0083 per segment and suggests about $0.005 for carrier fees. $0.0083 is the list price; the Phone System guide charges $0.00747 after its 10% discount, which this calculator uses, with the published carrier fee for the carrier you pick plus the 5% pass-through markup. How I would use it

  1. Start from real missed calls. Count last month's unanswered inbound calls from the call log rather than guessing, and take out repeat calls from the same person if you plan to use a Wait or tags.
  2. Run it low first. Put in reply and booking rates you would be comfortable defending to the client. If it only pays at optimistic rates, say so before you sell it.
  3. Keep the message to one segment. Name the business, say what happens next and leave out emoji. Paste it into the message box above to check; text pasted from a document can carry hidden characters.
  4. Make sure someone answers the reply. The text only starts a conversation. Route replies to a person or a follow-up workflow, or the recovered revenue stays on paper.

FAQ

How do I calculate the ROI of missed call text back?

Multiply your missed calls a month by the share who reply to the text, the share of repliers who book and the share of bookings that become paid jobs. That gives recovered jobs; times your average job value gives recovered revenue. Subtract the SMS cost of the text-backs and replies, plus any A2P monthly fee you want to count, to get net. ROI is net divided by that cost. Only jobs you would have lost without the text count, so use your own numbers rather than anyone's benchmark.

How much does one missed call text back cost in HighLevel?

In the US, HighLevel's Phone System charges $0.00747 per SMS segment plus a carrier fee that depends on the caller's carrier, from $0.0035 to $0.005 per outbound segment, with a 5% pass-through markup on the carrier fee. A one-segment text-back at the highest carrier fee is about $0.01272. Replies are billed as inbound segments too.

How do I turn on missed call text back in HighLevel?

In the sub-account, go to Settings, Phone System, Voice, then Voicemail & Missed Call Text Back, and open Missed Call Text Back. Tick Enable Missed Call Text Back, click Customize to write the message, send yourself a test and click Save. The incoming call timeout on the same screen decides when a call counts as missed; HighLevel suggests 10 to 20 seconds.

Which workflow trigger do I use for missed call text back?

Use the Call Details trigger, under Events in the Workflow Builder. Set Call Direction to Incoming and Call Status to busy, voicemail and no-answer, then add your text message action and publish the workflow. Some older guides call this the Call Status trigger; in the current builder, Call Status is a filter inside Call Details.

Does missed call text back text the same caller twice?

The built-in setting sends a text for every missed call, even when the same person calls several times in a short time. HighLevel recommends using the workflow recipe instead if you want to avoid that, for example with a Wait of around 20 minutes or tags for first and second calls.

Do I need A2P registration for missed call text back?

To text from a US local number, yes: HighLevel says at least one number in the location must be eligible to send SMS, which means A2P 10DLC registration for local numbers or toll-free verification for toll-free numbers. If the number the caller dialed cannot send SMS, HighLevel picks another eligible number in the account.

Why are there no default rates in the calculator?

Because reply, booking and close rates differ by business and any default would look like a promise. The form starts empty. The Fill example values button loads clearly labelled illustrative numbers so you can see how it works; replace them with your own.
