The short version
Work out which problem you have. If leads are missing from HighLevel, it is almost always access: page permissions, Leads Access for LeadConnector in Meta, or a form that is not mapped. If leads arrive as contacts but the workflow doesn’t run, the sync is fine and the workflow trigger is the problem. HighLevel’s Troubleshoot button on the Facebook integration card checks permissions and mapping, and its Sync Leads option pulls in leads that were missed (Troubleshooting CTA).
Are the leads missing, or just not starting the workflow?
Search the sub-account’s contacts for a lead you know came in from the ad. That one check tells you which half of this guide you need.
- Contact is missing: start with the integration card, then Meta’s settings.
- Contact is there but nothing happened: skip to the workflow trigger section.
What does the Troubleshoot button show?
Open the Facebook integration card in the sub-account. HighLevel shows a warning icon when forms are not mapped, and a different one when permissions are missing. Click Troubleshoot for the guided check (Troubleshooting CTA). Fix whatever it flags before you go further. Clicking the mapping warning takes you straight to Facebook Form Fields Mapping.
Does the connected Facebook user have full access?
HighLevel says you need Admin access to both the Facebook Page and the Business Manager it belongs to, and you must approve all requested permissions, especially lead and page access, when you log in (Facebook Integration).
HighLevel’s troubleshooting article gives the order to check in Meta’s business settings (Multi page Troubleshoot):
- Under Users, People, the person who connected Facebook is in the business portfolio with full control.
- Under Accounts, Pages, that person has full control of the page running the ads.
- Under Integrations, Leads Access, LeadConnector is assigned as a CRM.
That last one is the one I would check first. If LeadConnector’s lead access was removed, HighLevel says to go to Leads Access, click Assign CRMs, tick LeadConnector and click Assign.
Is the form mapped and enabled?
In the sub-account, go to Settings, Integrations, Facebook Form Fields Mapping. Check that the form your ad uses is listed with its status enabled, and that name, email and phone map to the right contact fields (Multi page Troubleshoot, trigger article).
A new or duplicated form in Ads Manager is a different form. It needs mapping on its own, even if it looks the same as the old one.
How do I test it?
HighLevel suggests Facebook’s Lead Ads Testing Tool. Pick the page and the form, send a test lead, and see whether it lands in the sub-account. In the tool, HighLevel says to check that LeadConnector’s app is listed for the page; if it isn’t, go back to Leads Access (Multi page Troubleshoot).
Use a test email you can recognise so you can find it straight away.
Leads arrive, so why doesn’t the workflow fire?
Open the workflow that should run and check (trigger article):
- It is published. A draft workflow does not run.
- The trigger is Facebook Lead Form Submitted, not a website form trigger.
- The Page Is and Form Is filters point at the page and form the ad uses now. If the ad was moved to a new form, the trigger is still waiting for the old one.
- One form per filter. HighLevel says the trigger supports one form per filter setup. For several forms, add a filter for each or duplicate the trigger.
Then look at the workflow’s execution logs for the test lead. If the lead entered and stopped at a later step, the trigger is fine and the problem is further down.
How do I get back the leads that were missed?
After the cause is fixed, open the integration card, click Troubleshoot, and use Sync Leads. Pick a time range such as the past 7 or 30 days, review the summary and confirm. HighLevel says this syncs all mapped forms across every page linked to the sub-account, and that it is meant for when leads are not syncing automatically, not as a routine job (Troubleshooting CTA).
Before you sync, decide whether the old leads should get your new-lead workflow. A lead from last week getting a “thanks for reaching out just now” text is worse than no text.
FAQ
Why are my Facebook leads not showing up in HighLevel?
The usual causes in HighLevel's troubleshooting articles are missing permissions on the Facebook Page or Business Manager, LeadConnector not assigned under Leads Access in Meta's business settings, or the form not mapped and enabled under Facebook Form Fields Mapping. The Troubleshoot button on the Facebook integration card checks for the first and last of these.
Leads arrive as contacts but my workflow does not start. Why?
The sync is working, so look at the workflow. Check it is published, that the Facebook Lead Form Submitted trigger's Page Is and Form Is filters match the page and form the ad uses now, and that the form is mapped and enabled.
How do I get the leads that were missed?
Fix the cause first, then open the Facebook integration card, click Troubleshoot and use Sync Leads for a time range such as the past 7 or 30 days. HighLevel says it syncs all mapped forms on all pages linked to the sub-account.
What permissions do I need to connect Facebook to HighLevel?
HighLevel says you need Admin access to the Facebook Page and the Business Manager it belongs to, and you should approve all requested permissions, especially lead and page access, when you log in.
Can one Facebook Lead Form trigger cover several forms?
HighLevel's trigger article says one filter setup covers one form. Add a filter per form, or duplicate the trigger. With no filters at all, the trigger fires for every lead form on every connected page.
